Who we are

The Professional Cleaning Company SHF Ltd, trading as ProCleanCo, is a commercial cleaning company based in Chesterfield, Derbyshire. We are the data controller for the personal information collected through this website.

What we collect

We only collect what you give us. When you use the quote form, the contact form or the callback card, we collect your name, your phone number, and where you provide them, your email address and anything you write in the message field.

We also collect limited technical information through analytics cookies, but only once you have agreed to them. That covers things like which pages you looked at, roughly where in the country you are, and the type of device and browser you used. It does not identify you by name.

How we use it

• To reply to your enquiry and prepare a quote.
• To arrange a site visit and, if you go ahead, to deliver the work.
• To keep a record of what was agreed.
• To understand how the website is used so we can improve it.

We do not sell your information, and we do not use it for marketing unless you have asked us to.

Our lawful basis

For enquiries and quotes we rely on legitimate interests: you have contacted us about cleaning work, and replying is what you would reasonably expect. For cleaning contracts we rely on performance of a contract. For analytics and any non-essential cookie we rely on your consent, which you give through the cookie banner and can withdraw at any time.

Cookies

Essential cookies keep the site working and are always on. Everything else, including Google Analytics, only loads after you accept it. You can change your mind at any point using the cookie preferences on this site, or by clearing cookies in your browser.

Who else sees your information

We use a small number of suppliers who process information on our behalf, under contract and only on our instructions:

• Vercel, who host this website.
• Mailgun, who deliver the enquiry emails our forms send.
• Google, for Analytics, reCAPTCHA spam protection and the reviews shown on this site.
• DigitalOcean and Cloudflare, who host the database and the images.

We will also share information where the law requires it. We do not transfer your information outside the UK or the European Economic Area except through these suppliers, who are covered by appropriate safeguards.

How long we keep it

Enquiries that do not lead to work are kept for 12 months, so we can pick up the conversation if you come back to us. Records relating to a cleaning contract are kept for 6 years after it ends, which is the period we are required to keep business records for.

Your rights

Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, or object to how we are using it. Write to us at the email address above, or by post to the registered office, and we will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top.
